All of the foregoing posts are honorary. The President is ex officio and shall chair meetings in the absence of the Chairman.
No person paid by the club shall hold honorary office or be entitled to vote on club policy but shall be permitted to be involved in the decision-making process by giving advice.
Candidates for Executive Committee posts shall be proposed by one member and seconded by another in writing to the General Secretary at least 7 days before the meeting at which the election is due to take place. Such proposals shall be endorsed by the candidates indicating their willingness to stand. The Secretary shall cause the names of all candidates to be displayed on the main entrance Notice board by the Saturday preceding the General Meeting.
The vice presidents at an Annual General Meeting shall elect a Vice Presidents' Representative. Candidates for this office shall be proposed by one vice president and seconded by another in writing to the General Secretary at least 7 days before the meeting at which the election is due to take place. Such proposals shall be endorsed by the candidates indicating their willingness to stand. The Secretary shall cause the names of all candidates to be displayed on the main entrance Notice board by the Saturday preceding the General Meeting. The current Vice Presidents' Representative shall be eligible for re-election.
The family members at an Annual general meeting shall elect a Family Members Representative. Candidates for this office shall be proposed by one family member and seconded by another in writing to the General Secretary at least 7 days before the meeting at which the election is due to take place. Such proposals shall be endorsed by the candidates indicating their willingness to stand. The Secretary shall cause the names of all candidates to be displayed on the main entrance Notice Board by the Saturday preceding the General Meeting. The current Family Members Representative shall be eligible for re-election.
(3) At its first meeting following election, the Executive Committee shall appoint from among the eligible club members a deputy for each office who shall deputise for his or her principal officer at any meeting of the General Committee which such principal officer is unable to attend.
(4) A member of the Executive Committee shall cease to be such a member during his or her term of office if his or her written resignation is accepted by the Executive Committee or if a resolution be passed to such effect by a Special General Meeting at which due notice of such resolution has been given, in which event such member shall be afforded every reasonable opportunity of addressing the meeting verbally or, at his or her choice, in writing to answer the motion and any criticisms of his or her conduct and the Chairman shall, if necessary, adjourn the meeting for this purpose.
(5) Any vacancies owing by virtue of death or resignation shall be filled by the Executive Committee; any vacancies owing as a result of the vote of a General Meeting shall be filled by that General Meeting, subject to due nomination of candidates, but if the General Meeting shall fail to fill the vacancy so created, or there are no valid nominations, the General Committee shall do so.
(6) At any meeting of the Executive Committee 4 duly qualified officers, or their respective deputies, shall be a quorum; of these, at least 3 shall be elected officers. All Executive Committee members or their deputies present shall be entitled to vote. At any meeting of the Executive Committee matters put to the vote shall be decided by a simple majority; in the event of a tied ballot the status quo shall be maintained.
(7) The Executive Committee may appoint such other officers as it thinks fit to undertake any functions under its direction and may delegate to them any appropriate powers and responsibilities. Such officers may be invited to attend and address any meeting of the Executive Committee but shall not be entitled to vote.
(8) The Executive Committee may appoint one or more sub-committees for such purposes as it may deem appropriate.
(9) The playing members at an Annual General Meeting shall elect a Club Captain and a captain for each of the teams representing the club at Rugby Football except the Youth teams.
Candidates for Club Captain and each team shall be proposed by one playing member and seconded by another in writing to the General Secretary at least 7 days before the meeting at which the election is due to take place. The current Club Captain and team captains shall be eligible for re-election.
(10) The Executive Committee shall appoint captains of the Youth teams representing the club at Rugby Football but may delegate this authority under Rule 5(7) above.
