This section has been produced to give Members the facts about the ticket distribution and allocation system for major fixtures at Twickenham.

It comprehensively details the history of allocations at all international matches at Twickenham over the last 4 years, enabling Council Members to respond to enquiries concerning tickets in their CBs.

Not only does this document clearly set out the facts relating to the actual numbers and percentage breakdowns of ticket allocations by type, it also illustrates the seating allocation between 22s (West and East Stands) and individual stand capacities.

Additionally, there’s a breakdown of the current system of allocation for major internationals. This provides you with an overview of the procedures and the timeframes associated.

We trust you find this booklet useful as the definitive source of all ticketing information. We intend to put all this information on the RFU website and update it for each international match played.

System of Allocation for Major Internationals

1. Despatch of application forms with a return time of minimum 6 weeks.
• a) Autumn matches - despatch in May for return by the end of August for clubs and mid September for schools.
• b) Six Nations - despatch August/Early September for return by end of October.


2. Capture of data, for clubs/schools and debenture holders is around 10 - 14 full days work. Clubs are divided into client types.
• a) Constituent Bodies, Clubs, Premier Clubs, National One, Referees Societies, Disenfranchised, Fixed Allocation (Counties/Sub Counties) Armed Forces. Over 80% of clubs have elected to use the Direct Debit method of payment.
• b) Schools are completely separate - Only a very small percentage of schools have a direct debit mandate in place, and therefore applications are submitted with a cheque for full payment of request.
  
  We use a ticketing software package called ’Venuemaster’ to manage ticket allocations. Each group is allocated a specific number of tickets and Venuemaster runs a process of allocation based on points. It then calculates how many points will be required for one ticket and allocates tickets on this basis. The quality of tickets is selected by Venuemaster using the parameters of best/worst areas of the stadium, and it will allocate specific seats and create a print file for each match. This process takes a minimum of 2 days.


3. A letter of advice of allocation is printed and despatched to all those who have made an application.
• a) For the majority of clubs, this is the 21 day notice of the intention to withdraw monies due for tickets.
• b) Schools- allocation advice sent together with a refund cheque for tickets that we are unable to supply.


4. Club tickets are run from the print file, each match is run separately and to complete each match takes 2 days.



5. Traditionally, tickets for each set of matches (autumn matches& 6 Nations) are despatched together. The tickets are checked and collated before enveloping. This without interruption would take around 5 working days for 2 matches, 7 - 10 for three.



6. Before despatch of tickets, monies for all tickets are collected by direct debit through BACS. This has to be done 10 days prior to posting as there are usually a number of clubs whose direct debit is not honoured on the first collection.



7. Tickets are enveloped, weighed and sacked in the Ticket Office and sent by PPI postage, which is collected independently from our normal post. This has over the years proved to be the securest way.

Debenture System Of Allocation

All debenture ticket application forms are processed on an individual basis from the booking system. Less than 50% pay by Direct Debit, most pay by cheque or credit card.

Forms for Internationals are normally despatched in late-June or early-July with a closing date of early to mid-September for the Autumn Internationals and mid to late-October for the 6 Nations Internationals.

Collation and despatch takes two people around 5-6 days for 2 matches, 9-10 days for 3 matches.
