Twickenham Ticket Distribution – The Facts

This section has been produced to give members the facts about the ticket distribution and allocation system for major fixtures at Twickenham.
It comprehensively details the history of allocations at all international matches at Twickenham over the past 10 years, enabling Council Members to respond to enquiries concerning tickets in their Constituent Bodies.

System Of Allocation For Major Internationals
It is important that clubs know in advance the approximate number of tickets they would receive since the introduction of the Licensed Operators Scheme. At the commencement of the fixed ‘minimum number’ system, ticket allocations have been based on a points system that has taken into account a range of criteria and a certain amount of historic data.
With the completion of the seating bowl at Twickenham and the end of the term for which the fixed allocation system was approved, the scheme has been reviewed to take account of the changes that have occurred in many clubs, particularly in terms of players and teams.

Working with the data on RugbyFirst (provided by the clubs themselves and checked by the RFU Regional Development Officers), the points awarded to each member club has been recalculated and achieves an updated minimum fixed number of tickets for major matches for a one-year period for the season 2009/10, to be reviewed in early 2010 from data extracted from RugbyFirst as at January 1, 2010 for the following season. This minimum allocation is based on an England v France match as the reciprocal number of tickets exchanged is the highest.
1) Despatch of allocation/application advice notice with a return time of minimum six weeks. This informs the club/school of the number of tickets that will be allocated to them for each match within the series. It also details when payment of tickets, if paid for under the Direct Debit scheme will be extracted. This is usually 14 - 21 days prior to despatch of tickets. Forms submitted with other types of payment are presented for payment upon receipt at the Ticket Office.
a) Autumn matches - despatch in June for return by the end of August and September for schools.
b) Six Nations - despatch August/early September.
2) Capture of data for clubs/schools and debenture holders is around 10 - 14 days. When the club/school forms are returned, adjustments of requirements are made at this time. Ticket requests cannot be increased.
a) More than 80% of clubs have elected to use the Direct Debit method of payment.
b) Only a small percentage of schools have a Direct Debit mandate in place, and therefore allocation/applications advices are submitted with payment for the full amount.
The ticketing software package is VM2, which has superseded Venuemaster. The software has been adapted to include the changes of allocation system. Once the data is set, the quality of tickets is selected by VM2 using the parameters of best/worst areas of the stadium, and it will allocate specific seats which are then sent to a print file for each match. This process takes a minimum of two days.
3) Tickets are run from the print file within their client groups, clubs, Constituent Bodies, Premiership Clubs, Championship Clubs, referee societies and Armed Forces. Each match is run separately and to complete each match takes around two days.
4) Traditionally, tickets for each series of matches (autumn and 6 Nations) are despatched together. The tickets are checked and collated before enveloping. This usually takes around five working days for two matches, 7 - 10 for three.
5) Before despatch of tickets, monies for all tickets are collected by Direct Debit through BACS. This has to be done at 10 - 14 days prior to posting to allow for those payments that are not honoured on the first collection. On occasions the tickets are withheld until payment has been secured.
6) Tickets are enveloped, weighed and sacked in the Ticket Office, then sent by the PPi postal service, which is collected independently of the normal post. In recent years this has proved to be the securest method of despatch.
Debenture System Of Allocation
All debenture ticket application forms are processed on an individual basis from the booking system. Currently, fewer than 50% pay by Direct Debit. Payment can also be made by cheque or credit/debit card.
Forms for internationals are normally despatched in late June or early July with a closing date of early to mid-September for the autumn internationals and mid- to late October for the 6 Nations internationals. Collation and despatch takes two people around 5-6 days for two matches, 9-10 days for three matches.
In June 2009 we introduced an online e-ticketing site for use by debenture holders. This enables debenture holders to apply for match tickets, view their bookings, amend their bookings, amend their contact details etc. It is also the intention that communication with debenture holders will be based on emails where possible and that the despatch of paper application forms will be gradually phased out.
